Open the next requisition awaiting approval in SAP Ariba and link it to its ServiceNow request.

1.1Open the team's Pending Approval queue in SAP Ariba and take the oldest requisition first (ex: RQ-6218 for $4,800).
1.2Read its lines: supplier, item, quantity, unit of measure, unit price, and the cost center on each line.
1.3Follow the requisition's source reference to the ServiceNow request (ex: PR-48217) and confirm the two match.
1.4Note the requisition's current approval step and how long it has been waiting there.

Confirm the approvers Ariba routed to against the cost-center mapping and the amount thresholds.

2.1Look up the cost center's budget owner in SAP S/4HANA (ex: Rosa Alvarez for MNT-210).
2.2Compare the requisition total with the approval thresholds: department approval to $5,000, finance review above it.
2.3Check that Ariba's Approval Flow names the mapped approvers, and that the requester is not among them.
2.4Flag a route that is missing an approver or names the wrong one, and hold the requisition until procurement corrects it.

3.1Attach the accepted quote revision and the matching contract line from SAP Ariba (ex: Q-771R against contract C-2201).

3.3Summarise any corrections made before submission, such as a unit or quantity clarified with the supplier.
3.4Post the package as a comment on the requisition so every approver sees the same evidence.

The mapped budget owner approves in SAP Ariba. The agent never approves, and never splits a purchase to stay under a threshold.

4.1Notify the budget owner through Ariba's approval request, with the review package linked.
4.2If the approval is still open after one working day, send a reminder through Microsoft Outlook with the requisition reference.
4.3Treat only Approve in SAP Ariba as approval. An email or a ServiceNow comment does not count.
4.4On a rejection, return the approver's reason to the requester in ServiceNow and close the agent's part of the request.

5.1Read the approval history and confirm the approved revision is the one that was submitted.

5.4Let the requester know through ServiceNow that the order has been placed.
